Description
Order Management
- Prioritize delivery schedules based on customers’ delivery requirements and electronically process delivery orders. Track feedback from supplying companies to ensure timely order delivery. Communicate timely with customers on delivery status.
- Provide order status report and monitor customers’ order placement against sales forecast
- Review and confirm the L/C application from customers and monitor the entire L/C processing. Inform relevant Key Account Manager in case there is any delay in getting LC on time from customer
- Manage master data maintenance process to ensure efficient order management process.
Customer Contact
- Coordinate with multiple levels of hierarchy at customer location on order status, PO amendments, payment issues and delivery/ documentation-related complaints
- Meet with customer service personnel to understand their needs& provide feedback to the relevant Key Account Manager.
- Handle customer complaints via Non-conformance Management (NCM) system Actively communicate status, investigation results, corrective actions to the customer and ensure on time closure for non-product quality-related complaints. Capture customer expectations /requirements and feedback to BU / Functions.
Credit Administration
- Check customers’ credit status according to established policies/ practices and communicate with customers to settle credit issues. Develop a list of outstanding payment monthly so customers payment pattern can be identified appropriately.

Managing Supply Chain Activities of Stock & Sales
- Efficient handling of tank operation.
- Coordination with customers & internal stakeholder EXIM & Logistic team for vessel planning
- Monitor the inventory level and collaboratively work with Sales & Exim Team, supplying location & supply balance and reconcile any gap and supply shortage.
- Merchandise performance review consumption monitoring, schedule adherence, non-conformance management
- Ensure adherence to compliance norms, EHS & statutory requirement which include ensuring tank safety, inspection, safety audit & monitoring safety standards
- Manage distribution planning between supply chain & customer
- Develop daily & weekly distribution plan to maintain enough inventory levels to meet the desired service level.
- Regular review to ensure timely supplies, execute expectation management& control whenever necessary
- Close coordination with customers for placing tankers.
- Close follow-up with customers for tank rental payment follow-up
- Achieving/improving/exceeding target customer service levels
